Privacy Policy

Introduction

Ada Mind (“Ada Mind”, “we”, “us”, or “our”) is a no-code, multi-agent AI platform that lets you build and run AI assistants connected to the tools you already use. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We've written it in plain English so it's easy to understand.

By using Ada Mind, you agree to the practices described here.

Data We Collect

We collect only the data needed to operate the service:

  • Account information: Sign in with Apple, Sign in with Google, or email/OTP. We also store your email address and basic profile details used to create and secure your account.
  • OAuth tokens: access and refresh tokens issued by third-party services you connect. Tokens are encrypted at rest and used solely to perform actions you ask your AI assistants to take.
  • Conversation history: messages exchanged with your AI assistants, so you can review past sessions and so assistants can maintain context.
  • Uploaded files: documents and assets you upload for your assistants to reference or process.
  • Usage and diagnostic data: minimal logs needed for security, debugging, and platform reliability.

How We Use Data

We use your data only to:

  • Run the AI assistants you build and fulfill the requests you make.
  • Authenticate your account and protect it from unauthorized access.
  • Improve reliability, performance, and the security of the platform.
  • Communicate important service updates.

We do not sell your data, and we do not share it with third parties for advertising or marketing.

How the data flows

  1. You send a request to your AI assistant through the Ada Mind platform.
  2. We retrieve any relevant context from your connected integrations (e.g., emails, calendar events, files).
  3. Your message and context are sent to a third-party large language model provider (currently Anthropic and/or OpenAI) for processing.
  4. The AI provider returns a response, which we deliver back to you.
  5. We store the conversation history so you can review past sessions and so assistants can maintain context.

Third-Party Integrations

Ada Mind connects to third-party services through OAuth, including (but not limited to) Google (Gmail, Drive, Calendar, Contacts), Microsoft, LinkedIn, Dropbox, Slack, GitHub, Notion, Facebook, and Telegram.

When you connect an account, you authorize Ada Mind to access only the scopes you approve. We use that access exclusively to perform actions on your behalf through your AI assistants. Each provider's own privacy policy continues to apply to data held within that provider.

You can disconnect any integration at any time from your account settings. Doing so revokes our access and deletes the stored tokens for that integration.

Data Storage & Security

Ada Mind is hosted on AWS and Cloudflare. OAuth tokens are stored in MongoDB with per-tenant isolation, ensuring that your data is logically separated from other customers'.

We protect your data using industry-standard safeguards:

  • TLS encryption for all data in transit.
  • AES-256 encryption for sensitive data at rest, including OAuth tokens.
  • Access controls, monitoring, and regular security reviews.

No system is perfectly secure, but we work continuously to protect your information.

Your Rights

You have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Disconnect any integration, which revokes access and deletes related tokens.
  • Request deletion of your account and associated data by emailing privacy@ateam-ai.com.
  • Export a copy of your conversation history and uploaded files.

Data Retention

We retain your data for as long as your account is active. When you disconnect an integration, the related OAuth tokens are deleted immediately. When you delete your account, we remove your personal data, conversation history, and uploaded files within a reasonable period, except where we are required to retain certain information for legal or security reasons.

Children's Privacy

Ada Mind is not intended for use by children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you through the product or by email. Your continued use of Ada Mind after a change takes effect means you accept the updated policy.
